Why events are not synchronized
Calendar synchronization only includes regular appointments. Events usually have multiple participants registered. If an employee were to cancel or reschedule an event in the external calendar, all bookings would be affected without the participants being properly informed. Therefore, you manage events exclusively in the bookingtime calendar.
Workaround: Add event appointments manually to the external calendar
If you still want to see your event appointments in your external calendar, create them there manually as appointments and set the status to “Free.”
- Open your external calendar and create a new appointment for the date and time of the event.
- Choose a title that indicates where the appointment came from, such as “[bookingtime event] Yoga class (changes only in bookingtime).”
- Set the appointment status to “Free.”
- For recurring events, create a recurring appointment series in the external calendar. This way, you only need to set up the entry once.
- Optional: Assign a category or color so these appointments stand out.
Why “Free” instead of “Busy”
When you synchronize your external calendar with bookingtime, appointments with the status “Busy” may be returned to bookingtime as blockers. A blocker at the same time as your event can affect the event and the bookings associated with it. An appointment with the status “Free” remains visible in the external calendar but does not block anything in bookingtime.
Things to keep in mind
- The appointment in the external calendar is only a reminder. If you cancel or reschedule it there, the event in bookingtime will not change. Make all changes to events in bookingtime.
- Changes are not transferred. If an event appointment changes in bookingtime, update the appointment in the external calendar manually.
- Colleagues will see you as available. In your external calendar’s scheduling view, the time of an appointment with the status “Free” appears as available.
